Booster Club Minutes – May 17, 2011
©Meeting was called to order at 6:05 P.M.by Mary Gregory and was held at WillisHigh School. Executive Board Members present were Mary Gregory, Stacy Alexander, Michelle Standefer, director Katie Cade & Mrs. Lebow.
©Mrs. Cade made an announcement that the Sweethearts cannot be in attendance at the Booster Club meetings and welcomed everyone in attendance to our first new meeting with the new/previous sweetheart parents.
©Mary Gregory introduced the Executive Board Members
©Report from our Soco Representative Present-Brittany Arnold, she discussed that the old/new Soco Teams met to discuss their upcoming activities.
©Ann Steater approved the minutes from our April 19, 2011meeting
©Treasurer Report was approved by Aileen Ripkowski and Mary Gregory explained it was a big figure due to costumes not being purchased yet, and camp fees.
©May Statements were passed out by Michelle Standefer to all parents that were present.
©Mary explained that Sweethearts with outstanding balances will not be permitted to perform nor will they be allowed to participate in Sweetheart functions.
©Sponsor Requirements: Officer $600/Line Member $500/Manager $400
Minimum requirement paid prior to using any sponsor money toward expenses. Sponsor money above the minimum due may be used for the following expenses: Officer &/or Line CampFees, Solo/Ensemble Fees, Travel Fees, Contest Fees
©Over the summer, you can mail sponsor money & forms to:

All Sponsor money is due by August 1st, NO EXCEPTIONS!
©After August 1stsponsorship money can continue to be collected but the sponsors names that donated will NOT appear on the banner at football games, amounts paid by the deadline of August 1st, 2011will be.
©Mrs. Streater asked to make a recommendation to everyone present that some great ideas of folks to ask for sponsorship money are folks that cut your hair, exterminators, places you eat often, dentist & orthodontist offices
©Payment Schedule:
6/1: Balance to Dance Fantastic is due. Must be cleared to order clothing.
7/25: $50.00- Home Camp fee due, Camp dates are: 7/25-7/29
8/1: All Sponsor Money Due
©What it means to be a Sweetheart and Booster Club Parent/ proper protocol.

©E-Mail is the MAJOR source of contact for booster club information; Sweethearts will be proofing information later this week. Mary offered if you did not get the email invite to this meeting tonight see her afterwards so she can get your email address please, and a Directory of everyone will be provided. Keep in mind you are not to abuse having this Directory and conduct business with these email addresses for anything but Sweetheart business.

Mr. Gregory made a comment to spread the word that he needed volunteers who may be interested to start taking over the website since this year he is a Senior Parent and he would like to start mentoring someone now on how this all works. ©WSBCMeetings to be scheduled-day of week best for the majority and the vote was won to keep meetings on the 3rdTuesday of every month. Majority vote for- NO Summer Meetings for the Booster Club.
©Summer Meetings will take place by the Executive Board Members-Date/Times to be determined.
©Committee Chairpersons & Volunteers needed:
~Numerous events though-out the year, there will be sign-up sheets in August, snacks & waters for each game around (40) per game will need to be provided and iced down in a cooler ready to go, Spirit Table-keep in mind here when working it everyone still gets to see their daughter perform at half time.
Concessions, Events, etc. The Chairpersons will be assigned on the August 16thBooster Club Meeting so we will be organizing this over the summer, keep an eye on your emails.
©Storage Room- Schedule Summer Inventory Project
~Need a Chair person for this and Michelle Standefer volunteered to be the Chairperson of this project along with Terry Woodard & Rosann Hildenbrandt to assist her. Michelle will coordinate this with Mrs. Cade along with her volunteers.
©A WHS Football schedule was provided on the back of the agenda & Mrs. Cade pointed out that the first Scrimmage game on August 20ththe Sweethearts would not be performing and the first game on the schedule August 26thshows to be home and it is actually away and will be the Sweethearts first performance against Houston Jefferson Davis 7:30.
©Mary offered on the Agenda an Important Dates:

Every effort is made to keep an updated calendar on the Willis Sweetheart website. However, changes do occur and it is the responsibility of your SWEETHEART to make you aware of these changes.
Please keep in mind that in order to maintain a team with the reputation of the WHS Sweethearts it is vitally important that each member attends all practices faithfully and is prepared to give 110%.
As she became a Sweetheart she became a part of a team and therefore has teammates depending on her. This is a life lesson & responsibility and dedication.
As her guardian please do your part to support her in her decision to become a WHS Sweetheart and get involved in the booster club that supports such an awesome team!!
